A New Manager Self-Service Model for Academic Healthcare at UTMB Health

UTMB Health implemented Oracle’s PeopleSoft HCM version 8.9 in 2005 with limited Manager Self-Service (MSS) rolled out using the legacy design and delivered routing capability. It proved difficult to maintain and update, and somewhat inflexible to meet the changing business needs. Gaps in delivered MSS (such as new position request) were met with custom forms to capture data at the source. Integration to core was still limited and required centralized data entry.  Read more

Central Washington University’s PeopleSoft Renovation with the Sierra-Cedar Upgrade Lab

By Tim Foley and Randy Ott

A few years ago my wife and I noticed water leaking through a crack in the bathroom walk-in shower where the floor met one of the walls. Fancying myself the handyman, I figured a bit of caulking would do the trick. After a few weeks though, the opening reappeared, and was seemingly getting larger by the day.  At this point, I thought I would put my hours of watching DIY television to work and take care of it for good. I don’t remember what I tried, but when I was finished it looked worse than before – and the crack opened up again, mocking my efforts. It was time to call in an expert….  Read more

Grant Reconciliation Made Easy

Grants are “special”  – we all know that! In order for us to do our daily and monthly processes we cross bridges from Grants to Project Costing, Contracts, Billing, and Accounts Receivable before finally landing in General Ledger. I have recently been working with the Kentucky Community and Technical College System (KCTCS) on improvements to their Procure-to-Pay process. These improvements include streamlining their procurement process and reducing redundancy.

With the upgrade to PeopleSoft Financials 9.1, we were able to streamline recurring payments by utilizing some of the new delivered functionality along with existing functionality that was not being used. This included the new lease payment processing from Asset Management. Read more

Veteran’s Benefits Processing – Student Financials

Whether by “waving” our flags or by “waiving” our tuition, higher education proudly supports our military veteran students.  However, current federal regulations make it difficult to offer quality customer service to this student population.

I imagine colleges view their veterans’ processing as the proverbial “square peg/round hole” dilemma: how to do you fit very specific, but ever changing, federal regulations that define your business processes into the confines of a (mostly) “vanilla” student information system, while still adhering to your own governing body’s policies and audit requirements?  Read more

Easing the Pain of Salary Funding Changes at UTMB Health

Universities that have a significant amount of grant funding will usually process a high volume of transactions in Oracle’s PeopleSoft HCM Commitment Accounting module either to set up funding for Payroll Expenses and Encumbrances or for Retroactive Salary Funding Transfers. Funding for Payroll expenses and encumbrances is set up in the Department Budget tables in Commitment Accounting and can be set up using multiple levels: Read more

Simplifying your Procurement Year-End Processing

I have recently been working with the Kentucky Community and Technical College System (KCTCS) on improvements to their Procure-to-Pay process. These improvements include streamlining their procurement process and improve efficiencies. With the upgrade to PeopleSoft Financials 9.1, we were able to streamline the year-end processing, especially the year-end accruals for both purchasing and payables.  Read more
