Reporting Vendor Diversity Information

I have recently been working with the Kentucky Community and Technical College System (KCTCS) on their Supplier Diversity Initiative. Our overall goal is to ensure that KCTCS meets their 2010-2016 Strategic Plan goals to “reflect the diversity of the students and employees of our 16 colleges and the citizens of the Commonwealth of Kentucky”.

The overall goal was to report to the colleges their overall spend with diverse vendors. The report categories included: African American, Asian, Hispanic, Native American, Other, Woman Owned, Physically Disabled, and Veteran. Our challenge was the fact that the majority of the spend was with the Procurement Card which was not stored in PeopleSoft.   Read more

Decentralizing Your Accounts Payable

I have recently been working with the Kentucky Community and Technical College System (KCTCS) on improvements to their Procure-to-Pay process. These improvements include streamlining their procurement process and reducing redundancy.

With the upgrade to PeopleSoft Financials 9.1, we were able to streamline the entry of invoices by utilizing several of the new delivered functionality. This included the new approval framework for workflow and the attachment feature for vouchers. Read more

Ushering In a New Era of Procure-to-Pay Efficiency

I have recently been working with the Kentucky Community and Technical College System (KCTCS) on improvements to their Procure-to-Pay process. These improvements ensure requisitions are sourced to purchase orders, purchase orders are dispatched, and invoices are vouchered without delay and with greater efficiency.

Utilizing Connected Query and XML Publisher, we have developed several reports to support users in identifying various issues that previously slipped through the cracks until year-end creating a lot of work.Before we created these reports, requestors and buyers had to rely on individual queries and remember to run those queries regularly. Turn on the Workflow Please

Many system projects start out with management saying, “I want workflow,” which is about as specific as someone going to a shoe store and saying, “I want some footwear.” Workflow is not a one size fits all solution that allows you to dance, run a marathon, or keep your feet warm on a cold morning.

In reality everyone already has workflow.  Business processes as they exist today are workflows.  They may not be automated, documented, or even work well, but they are workflows.
